Who we are
LARDER HQ LIMITED, trading as Larder, is the provider of larderhq.com and the Larder application. Registered in England and Wales, company number 17441466. Registered office: 71-75 Shelton Street, Covent Garden, London, WC2H9JQ, United Kingdom. Information we collect
If you submit a demo request, Design Partner application or contact form, we collect your name, work email, company, industry and any phone number, enquiry topic, legacy plan interest or message you choose to provide. We also record the IP address and browser user agent attached to the submission to prevent abuse.
Our hosting services process basic request information needed to deliver and protect the site. If you accept analytics, Google Analytics also processes the website usage information described below.
For relevant business-to-business outreach, we may also use a person's name, employer, job title, published business contact details and records of our contact with them. We keep a minimal record when someone asks us not to contact them again so we can honour that request.
Why we use it
We use enquiry information to respond, arrange a relevant demo, manage the Design Partner programme and continue the business conversation you asked us to have. We rely on our legitimate interest in responding to business enquiries and, where relevant, steps you ask us to take before entering a contract.
We use technical information to secure the site, prevent misuse and diagnose faults, based on our legitimate interest in running a safe and reliable service. We use Google Analytics only with your consent.
Business-to-business outreach
We may contact people in established food-wholesale businesses where their role and the organisation's work make Larder reasonably relevant. We use public company websites, official registers, professional profiles and limited business contact information collected from business data providers. We do not buy or use consumer contact lists.
We rely on our legitimate interest in introducing Larder to relevant corporate businesses and learning whether it may help their operation. We balance that interest against the person's privacy, keep messages limited and relevant, identify Larder and provide a simple way to opt out. We do not send unsolicited electronic marketing to sole traders or partnerships treated like individuals unless we have consent or another lawful route.
Our email provider may make basic delivery or engagement signals available where that feature is enabled. We do not use those signals to make decisions that have legal or similarly significant effects. You can object to direct marketing at any time by replying to the message or emailing us, and we will stop.
Website analytics
If you accept analytics, we use Google Analytics to understand which pages and features are useful and whether an enquiry was successfully submitted. Google Analytics may process page paths, referrers, interactions, approximate location, and browser and device information. We send only the form type and, where relevant, the selected pricing plan with a successful-enquiry event, never your name, email, company, phone number or message.
Google Analytics does not load before you accept. Advertising storage, advertising user data and ad personalisation remain disabled. You can change your choice at any time through Cookie settings in the footer. See our Cookie Notice for the technologies and durations involved.
Data in the Larder application
A customer controls the operational information its team enters into Larder, such as customer, supplier, order, stock, batch, traceability, HACCP and delivery records. Larder processes that information on the customer's behalf and keeps it within the customer's tenant context.
Larder separately uses account-contact, billing, support and security information needed to administer, support and protect the service. Those uses are governed by this notice and the relevant customer agreement.
Service providers and integrations
We use trusted providers for managed hosting and databases, transactional email, consent-controlled analytics, payments, address search and routing. Depending on the features a customer enables, Larder may also connect to AI or accounting providers. Current providers include Replit, Resend, Google, Stripe, OpenAI and QuickBooks where their relevant service is used.
Providers receive only the information needed for their role and operate under their own data-protection terms. We may also share information with professional advisers or authorities where reasonably necessary or legally required. We do not sell or rent personal information, and we do not share it for third-party advertising.
Delivery routing and address search
When an authorised Larder user searches for an address or plans a standard-van delivery route, the relevant address text, coordinates, vehicle capacity, time windows and opaque delivery identifiers may be sent to Google Maps Platform to provide address, route and optimisation results. Larder does not send customer names, order contents or driver contact details in route-optimisation requests.
International processing
Some service providers operate internationally, so personal information may be processed outside the UK. Where UK data protection law treats this as a restricted transfer, we use an applicable adequacy arrangement or contractual safeguards. You can contact us for more information about safeguards relevant to your data.
How long we keep information
Marketing enquiries are normally retained for up to 24 months unless you ask us to delete them sooner or the enquiry develops into a customer relationship. Customer operational data is kept for the contract term and the agreed transition period, then deleted or returned as set out in the customer agreement.
Account, billing, support and security records are kept only as long as needed to provide and protect the service, meet legal or contractual obligations and resolve disputes. Analytics storage durations are listed in the Cookie Notice.
Business prospect records are reviewed after 12 months from the last meaningful interaction and deleted or refreshed when they are no longer needed. We retain only the minimum suppression record needed to respect an objection or opt-out for as long as that is necessary.
Your rights
UK data protection law may give you rights to access, correct, erase or restrict your information, receive portable information and object to certain uses. These rights are not absolute and depend on the reason we use the information. You can also withdraw analytics consent at any time through Cookie settings.

Automated decisions and children
The marketing site does not make solely automated decisions that have legal or similarly significant effects. Larder is a business service and is not designed for children.

We update this notice when our services or data practices change. The date at the top shows the latest substantive revision.
